What is the difference between “Received”, “QTY”, And “QTY Received” on a PO?

On the Purchasing page, you can view the receiving of every PO. Find below the differences between the columns.

“Received”, is the percentage of how much of the PO is received.

“QTY” is the number of units included in this PO.

“QTY Received”, is the number of units already received.

You can also click on “QTY Received” to view the history of the date, quantity, and location of the receiving.

How to Upload via Case Quantity

Our Case configuration feature works for having the quantity automatically rounded to the amount of QTY per case, however, it does not include the option to enter the cost price for the case in total. To configure cases with the proper cost price displayed on your purchase orders (POs), follow these steps:

Upload a file for your case configuration. This will only affect the quantities on the PO. Click here for an article on how to do this.
Now you can upload a “product information” file that includes the SKU, Supplier, Cost per unit, and Vendor SKU.

Once these files are uploaded, when placing a PO, the quantity will automatically be rounded to the case quantity specified in the case configuration. Additionally, the system will multiply the cost per unit based on the case configuration, providing the accurate total cost for the case.

How to Add a Shipping Date to a PO PDF

You can add a “Shipping date” to a PO PDF when adding the date as a comment on the Purchase Order.

Then the shipping date will show up on the Purchase Order.

Can not attach a PDF to a PO

How to create a purchase order with the projected reorder numbers

Below is a step-by-step guide on how to create a purchase order with the projected reorder numbers.

Navigate to the “Inventory tab” on the products page.

By default, all the products show up on the products page. When it comes to reordering, you can filter the page to see only the products that need to be reordered.

See below how to do so:

Click on “Advanced Filters” and navigate to the “Filter by status” option. Type in “Reorder” to filter the results based on this status. Next, select the specific reorder rule that you want the system to use for calculating the reordering.

Click on “Add to filters”, select the greater sign (“<“), and then click on “Apply”.

Now the page will be filtered to see only the products that have a reorder amount greater than 0.

Select the items you want to reorder and click on “Reorder”. (You can select all products by clicking on the first check box next to the titles.)

Here, you still have the option to modify the reorder quantity for specific products. You can also change the reordering rule for individual products, and the calculation will be adjusted accordingly. If you are satisfied with the reorder quantities, you can click on “Reorder” once again to proceed.

Now you will automatically see for every supplier a separate draft PO.

The only required field that needs to be filled in on the “General Information” section of the Purchase Order (PO) is the supplier name. The other fields are optional and can be added as needed.

If your supplier has a different SKU, then enter the Vendor SKU as shown below.

If you reorder by case, enter the number of “Units per case”, and then the number of cases.

If you choose to reorder by units, click on the “Units” field and enter the desired number of units you want to reorder. As a result, you will see the price per unit under the “Price” column and the total cost price for that specific product under the “Total” column.

You can add here a discount to a specific product in dollars or percent.

Here you can add any additional cost to the PO. Furthermore, if you wish to apply a discount to the entire PO, you can enter the discount percentage in the “Discount” field.

When you are done click on “Create new PO”.

You can now click on “Next”.

You can now continue to fill out the information for each supplier separately.

Once the Po is created you go to the purchasing page, where you can download a PDF statement to send to your supplier.

How To Track Purchase Orders

Would you like to keep track of all your open Purchase Orders (POs) that you will be receiving? This way, you can have a list of items that will be coming in and know from which location they will be shipped.

Inventory Ahead gives you this option. See below a simple step-by-step guide on how to do this.

Click on “Advanced Filters” on the purchasing page.

Select the status “Received Percent” at the “Filter by Status” option.

Click on “Add to filters”.

Select the “less than” symbol (“<“), and now you can enter the amount of 100% or any percentage amount of received POs that you would like to view.

This filter will display all the purchase orders (POs) that you will receive or are currently being processed. If you wish to view this information, please click on the “Apply” button.

To view only the purchase orders (POs) that are currently in the process of being received, you can add a filter using the following steps.

Select the status “Qty Received” at the “Filter by Status” option.

Click on “Add to filters”, and select an amount “greater than 0”.

Then click on the “Apply” Button.

You also have the option to save this filter set for later use by clicking on “Save New Filter Set”.

Enter your desired filter name and click on the “save” Button.

Now, to access and view your receiving purchase orders (POs), simply click on the name of the saved filter. This will allow you to conveniently access the desired information.

You have the flexibility to create multiple saved filter sets, enabling you to view POs with different statuses.

How To Export Supplier Information to Excel

How To Customize Your Purchase Order PDF:

Before sending PDF purchase orders (PO) to your supplier, you have the option to set up customized templates to define the layout and choose the specific information to include.

Navigate to purchasing tab, locate the desired purchase order and select the “Download PDF statement”

The system’s default purchase order template will popup, providing you with the opportunity to customize it according to your needs

Select “Create new” (or “Update” when updating/editing an old template)

Enter your desired template name. And save it.

Now select that template name and start customizing.

“Branding and Styling” Here you have the option to enhance your purchase order (PO) by upload a logo, adjust size, font, color and add Ship To or Bill To address to your PO.

“Item Grid” Here, you have the option to select or deselect the information that should appear on the item grid of your purchase order (PO). Adjacent to the percentage, you can adjust the allocation of space for each option. Enabling the “Wrap description” feature shortens the description and is only available when the description field is selected. Remember to save your changes.

“Footer” Here you can choose to specialize the bottom of your PO by adding any special notes, welcome note, select address and barcode to appear. Then Save. Be sure to select “update” after editing a customized PO.

Print!

So now, when selecting any PO you will have the option of using the custom PO template you created.

What are reorder & replenish rules and how to set them up

To Reorder – Under the Inventory tab, this amount indicates an estimate of how much inventory is needed to reorder from the vendor in order to have enough stock in the warehouse.

Replenish – Under the Listing tab, this amount indicates an estimate of how much inventory is needed to send or replenish to Amazon or a fulfillment center.

How to setup the rules:

Setting Up Reorder Rules for Vendor Replenishment Estimation:

Navigate to “settings” and select “Reorder Rules”

You will now see two rules. When reordering, you can always select which rule to use so that the amount will be calculated according to the selected rule.

Customizing the rule>>Click on a rule and you will have the options to customize.

Rule Name>>You can choose the desired name for this rule.

Days To Count: This indicates the number of days in the past that the system should consider for estimation. The system will calculate the average daily sales based on the total units sold in the specified number of days (e.g., past 30 days).

Day Supply Amount To Reorder: This allows you to specify the desired number of days’ supply for reordering. For example, if you choose 60 days, the system will calculate the average daily sales and multiply it by 60 to determine the quantity to reorder.

Same Days Last Year: This option is primarily used for seasonal items. It will calculate the amount compared to same time period last year.

Combine Real Time: When managing mains and subs with a combination of FBA (Fulfilled by Amazon) and FBM (Fulfilled by Merchant) products, enabling the “Combine Real Time” setting ensures that if you have stock available at FBA for any of the products within this group, the system will not suggest a reorder amount for the FBM products.

Out of Stock: If selected, the system will deduct the number of days the item was out of stock. The average will be calculated based only on the days when the item was in stock.

Buy Box: If selected, the system will deduct the number of days the item did not have the buy box. The average will be calculated based only on the days when the item had the buy box.

Show Full Amount: By default, the system calculates the amount needed by deducting the quantity in stock and on open purchase orders. For example, if 100 units are needed for a 60-day supply and you have 10 units in the warehouse, the system will suggest reordering 90 units. However, if “Show Full Amount” is selected, the system will display the full amount needed for reorder without deducting the quantity on hand.

Supplier ETA: For each vendor, you have the option to add an estimated time of arrival (ETA), indicating how long it takes to receive items from that supplier. If “Supplier ETA” is selected, the system will automatically consider the lead time and notify you in advance about the reorder timing, taking into account the specified ETA.

Sales Rank: If selected, the system will calculate the sales rank performance based on the percentage of improvement or decline. It will analyze whether the sales rank has improved or worsened compared to the previous period.

Save Rule!

Please note: It may take up to an hour for the system to calculate the new reorder suggestions after you have saved your settings.

Setting up Replenish Rules for Estimated Amount Calculation

You will now see two rules. When replenishing, you can always select which rule to use so that the amount will be calculated according to the selected rule.
